Finance & Administration Assistant (Part-time)
Location: Musicale, Harpenden, AL5 4GJ
Contract: Permanent, part-time (approx. 10-20 hours per week, pattern to be agreed)
Musicale is a long-established centre for music education, lessons, ensembles and holiday courses in Harpenden. We’re looking for a methodical, organised Finance & Administration Assistant to support the day-to-day running of our finances and help keep everything behind the scenes running smoothly.
This role is ideal for someone who enjoys tidy books, clear processes and being the calm, reliable centre of an energetic music business.
Summary of the role
Reporting to the Directors, you will support the financial and administrative operations of Musicale, helping to ensure:

Accurate and timely invoicing for lessons, holiday courses and instrument rentals.

Clean, up-to-date records in Xero.

Clear, friendly communication with parents, tutors and colleagues.
Key responsibilities
Finance Administration

Preparing and issuing invoices for tuition, holiday courses and rentals.

Reconciling bank transactions in Xero and keeping accounts up to date.

Monitoring aged debtors and helping to chase overdue fees by email and phone.
- Maintaining accurate records for refunds, credits and adjustments.

Supporting month-end and year-end routines such as checks, exports and filing.
- Maintaining confidentiality when handling financial information.
General Administration

Responding to finance-related queries from parents, tutors and suppliers by phone and email.

Keeping contact details, records and files organised and accessible.

Liaising with the wider office team to ensure financial information (e.g. new students, cancellations, courses) is accurate and consistent across systems.
The ideal candidate
The ideal person will:

Have previous experience in a finance / bookkeeping / accounts admin role.

Be confident using Xero (or a similar cloud accounting package) and comfortable working with Excel spreadsheets (pivot table expertise advantageous).

Have excellent attention to detail and a very tidy approach to record-keeping.

Be organised, reliable and able to follow established processes as well as sufficiently creative and curious to spot and suggest improvements.

Communicate clearly and politely with parents, tutors and colleagues by email, in person and over the phone.

Be adaptable and comfortable working in a small, busy office where every role really matters.
An interest in music or education is a bonus, but not essential.
Salary and benefits

Hourly rate of £20-£25/hour, depending on experience
- Highly flexible work arrangements, with hours that can fit around other responsibilities (e.g. childcare).

Hours are largely term-time, work in school holiday periods is very limited.

Holiday pay accrues based on hours worked and is paid in addition to the hourly rate.

Working hours and location

This is an in-office role, working in our office in central Harpenden, with free parking available.

Part-time role, approximately 10-20 hours per week (hours to be agreed).

Core hours will be within Monday to Friday, 9am–5.30pm.
- Requirement to attend and support a small number of events and concerts per term outside of usual office hours.
